In certain circumstances we will allow exhibitors to set up on the morning of the event but you must notify alison@washingtondowling.com if you intend to do this.
Please note, registration is from 10.00am so it is VITAL that all stands are set up before this time.
Loading and unloading access
For those exhibitors situated in the Whitworth Suite, you can load directly into the back of the suite via the lane that runs behind the hotel which is accessed from Whitworth Street. However, you will need to confirm with the Organisers your approximate arrival time to avoid any congestion, as this is the main delivery entrance for the hotel.
For those exhibitors situated in the Buckingham Suite, there is a lift from the back lane down to the mezzanine level which is down the corridor from the Buckingham Suite. For larger items, the Buckingham Suite can be accessed via the fire exit that leads directly onto Oxford Road at the front of the hotel but this is only for a short period of time as there are double yellow lines.

It is VITAL that all packages are clearly marked with your company name and stand number so they can be easily identified.
At the close of the event, should you be requiring any items to be collected by courier, then they can be collected from the same address as above. Ideally, all stands/exhibits need to be collected immediately after the event. However, in some exceptions, The Palace Hotel can store your items until the following day but these must be collected before this deadline.

Set in the heart of Manchester The Palace Hotel is easily accessible by rail, bus, tram and airport links - there really is no need to bring the car into the city!
The Palace Hotel has gained many prestigious Green Awards and is widely recognised as having some of the greenest credentials within Manchester. Because of this we encourage all of our valued guests to visit The Palace Hotel by environmentally friendly options.
The Palace Hotel is situated directly opposite Oxford Road Station, is within walking distance of Piccadilly Station and St Peter's Square tram station and is a short journey from Manchester International Airport.
The hotel stands directly opposite The Palace Theatre and is a few minutes from the Opera House and Bridgewater Hall, home of the famous Halle Orchestra. With its excellent transport links, it is also an ideal base for touring Greater Manchester and the surrounding countryside.

From M6 South (London/Birmingham)
- Exit M6 at Junction 19 (Manchester Airport)
- At the roundabout take the 3rd exit signposted A556 (Manchester)
- Continue for approximately 4 miles to the next roundabout and take the 3rd exit signposted M56 (Manchester)
- Continue on the M56 for approximately 7 miles
- At Junction 33 take the right-hand lane (A5103)
- Continue on the dual carriageway for approximately 7 miles towards the City Centre
- At the roundabout follow the signs for Manchester Central

- Follow the road through the 1st set of lights

- At Junction 12 on M62 keep right and follow the M602

- At Harry Ramsdens go through the lights, under the bridge and bear left
- Take the 1st exit at the roundabout
- Go past Key 103 and right at the lights so you are now on Whitworth Street
- At the 2nd set of lights, The Palace Hotel is situated on the right

From Sheffield/Derbyshire
- Take the A57 through Glossop or the A6 through Stockport to the Apollo Theatre

- Turn 1st right at the lights into Charles Street

From M61 North (Preston)
- On M61 take Junction 12 onto the M62
- At Junction 12 on the M62 keep right following M602

- Go through the lights and continue under the bridge
- Bear left and take the 1st exit at the roundabout
- Go past Key 103 and at the lights turn right onto Whitworth Street

Where can I park?
The Palace Hotel does not have its own car park. However, they have an arrangement with the nearby Euro Car Park. This is a secure car park located on Pritchard Street and the rate is £10 for 24 hours. This is payable prior to departure from the car park via machines taking cash, debit/credit card.

Electricity supply
It is advisable to bring your own extension lead which can then be plugged into the various powerpoints.
Internet access
There is wireless internet access in public areas and meeting rooms. This is free for 30 minutes on a limited band width and after this the user will automatically be logged out. You can log back in every 30 minutes and keep using the free access but for un-interrupted use or faster band width you can pay via credit card when you log in or purchase an internet card from the Reception for either 1, 8 or 24 hour usage.
Security
Each evening, the Whitworth and Buckingham Suites will be locked; however the Organisers cannot accept any responsibility for any damage or loss of belongings or exhibits introduced by exhibitors.
If you have exhibits of any particular great value, we can arrange to have these locked away overnight. Please see a member of the Washingtondowling Associates team on set up day to make the arrangements.
Insurance
It is vital that all exhibitors are aware of the clauses and issues concerning insurance and exhibitor's liabilities stated in our Terms and Conditions. Please ensure you have adequate insurance to cover all risks.
Exhibitor badges
All exhibitors are required to wear their exhibitor badges at all times throughout the duration of the event. You must notify us of the names and positions of your stand personnel before Friday 3 September. Exhibitor badges will be colour coded red and will be distributed on the morning of the first day of the event.
Photocopying
The cost for photocopying is 30p per A4 sheet, 55p per A3 sheet, 10p extra per sheet for colour, 10p extra per sheet for double sided

Fax facilities cost £1.50 for the first A4 sheet and £1.00 per sheet after
Plasma TV hire
Should you wish to hire a plasma TV you can do so from our AV contractor. A 42" plasma screen on a stand with speakers is £130 plus VAT. If you would like to arrange this, please contact alison@washingtondowling.com

Gala Dinner
The Gala Dinner will be taking place on the evening of Tuesday 21 September in The Grand Room (conference room). The dress code is dinner suits for men and cocktail wear for the ladies. This year's scheme is black, white and silver.
It will commence at 7.30pm with a Welcome by our dinner sponsor Xchanging Procurement Services Limited. Dinner will then be served at 8.00pm prompt.
Later that evening, guests will be entertained by Manhattan who last performed for BAE Systems in 2002 and brought the house down! Since then their reputation has seen them perform across the country and fast become an unforgettable live band. They bring legendary tracks from the swing and rat pack era to life and together with classic pop and rock tracks, promise a night to remember!
The dinner menu is as follows:

Classical roasted duck a l'orange with pomme fondant, chantenay carrots and a feve, garlic and wild mushroom compote

Accommodation at Macdonald Hotel and Spa
If you are staying at the Macdonald Hotel and Spa you will be able to check-in at 2.00pm. Breakfast is served in the Signatures Restaurant from 6.30am - 10.00am. Check-out must be before 11.00am.
Please note, that although all rooms have already been paid for, this does not include any extras so if you have any, these must be settled by you on departure.
For the duration of the event (21/22 September), including the Gala Dinner, there will be a shuttle service running to and from The Palace Hotel for all exhibitors/delegates. This will typically run every 20-30 minutes but exact times will be available in due course.

There are 85 parking spaces available on a first-come, first-served basis; 6 of which are fully accessible for disabled guests and visitors. Cars are left at owners' risk and a keycode is required on exit which can be obtained from reception following payment.
